1. Terms of Hire/Service Agreement:
Rental Duration:
- Our sound and light equipment are typically operated on a single-night hire basis with staff present for both load-in and derig. However, we understand that specific events may have unique requirements, and as such, terms can be adjusted accordingly. Please contact us to discuss your event's specific needs and duration.
Payment Terms:
- Venuelume requires a deposit of 20% in advance for all equipment rentals. The remaining payment is to be completed before the event. Alternatively, a 60% advance payment is accepted with the remaining 40% to be paid within 2 weeks of the event finishing.
- Advance deposits are non-refundable but will count towards the total rental cost.
Cancellation Policy:
- Cancellations made more than 2 months before the event are eligible for a full refund.
- Cancellations made less than 2 months before the event will result in withholding the minimum deposit amount of 20%. If a larger deposit has been paid, the company will reimburse up to this 20% threshold.
- In the case of cancellations made after the 2-month period, clients have the option to switch the event date instead of canceling, allowing the event to be rescheduled.
2. Liability and Responsibility:
Equipment Use Guidelines:
- On delivery, the operation of dry hire equipment will be explained, including any allowable changes.
- The primary model for our hire company is to have the equipment staffed and cared for by a team member.
- Weight loading guidance must be adhered to at all times to prevent damage. Equipment should not be placed in a position where damage is likely to occur, considering factors such as moisture ingress and drops from height.
Client Liability:
- Clients will be held liable for damages beyond reasonable wear and tear if it is found that the outlined terms were breached.
- It is the client's responsibility to keep the designated areas clear and tidy, ensuring they are ready for the installation and removal of the equipment.
4. Intellectual Property:
Usage of Event Photos:
- Venuelume reserves the right to use photos taken during events for marketing and promotional purposes.
- By engaging our services, clients grant Venuelume permission to feature event photos on our website, social media, and promotional materials.
- If clients have specific concerns about the use of event photos, they are encouraged to communicate their preferences with Venuelume in advance.
